Ways to book

at Birchill Farm & Cottages

  • We have extended the period between changeovers. This is due  to the extra precautions we are taking for Covid-19. This extension allows our housekeepers to carry out extra cleaning & disinfecting in accordance with industry guidelines for this situation.

  • Your cottage will be available from 5.00pm on your arrival day. Please let us know what time you plan to arrive. Late arrivals (after 9.00pm) are by prior arrangement only.

  • Your cottage must be vacated by 09.30am on your departure day. Your co-operation is appreciated  as it takes our housekeeping team several hours to thoroughly clean and prepare our cottages for the next guests.

  • Our prices are inclusive of heating, electricity, bed linen, towels and baby equipment.
  • No Smoking. For the comfort of all our guests, we request you do not smoke in any of the cottages.

  • Parking spaces are limited to those stated in each individual cottage description. If you need an additional space, please contact us prior to booking. This may be possible for us to arrange.

  • Visits by non-resident family and friends are strictly by prior arrangement with us.
  • A toddler bed can be provided for use in certain bedrooms in certain cottages. Toddler beds are suitable for children aged from 2 – 4 years only and cannot be used to extend the occupancy of a cottage.
  • Christmas and New Year – Christmas trees and decorations are provided. A festive hamper is included in the price of bookings of seven nights or longer

Booking terms & conditions

  • Provisional bookings remain firm for four working days.
  • A deposit of one third of the total amount due is payable on booking with the remainder to be paid four weeks before commencement of holiday. We are unable to issue reminders.
  • Bookings made within four weeks of the start date of your holiday must be paid in full.
  • Telephone or online bookings remain provisional until we have received your deposit and booking form. You will then receive email confirmation that your booking has been confirmed.
  • If for any reason we are unable to proceed from a provisional to a confirmed booking we will refund any monies that have been paid.
  • In the event of cancellation, please advise immediately in writing.
  • Cancellations made more than four weeks prior to the start date of your holiday will result in the loss of your deposit only.
  • Cancellations made less than four weeks prior to the start date of your holiday will result in loss of the full amount.
  • We will always refund the final letting price paid in the event that we are able to re-let the cottage for the same period. This may be less than you paid. An administration charge of £30 will be deducted.
  • To avoid losses, we strongly recommend that you take out holiday cancellation insurance.
  • In the unlikely event that we are forced to cancel your holiday due to circumstances beyond our control, we will refund all monies paid to us. No further liability will be accepted.
  • In the unlikely event that we are forced to terminate your holiday early due to circumstances beyond our control, we will refund an appropriate proportion of monies paid to us. No further liability will be accepted.
  • The cottages are available from 4pm on the arrival date and must be vacated by 10am on the day of departure.
  • Late arrivals (after 9pm) are by prior arrangement only and we reserve the right to refuse entry to guests arriving after this time.
  • The cottages should be left as you found them. Any damage or breakages must be reported and we reserve the right to make a charge for repair or replacement.
  • The use of accommodation or amenities including the play area and grounds of Birchill Farm are entirely at the user’s risk. We accept no liability for any accident or injury to any guest or visitor. In addition, we accept no liability for any loss or damage to guests’ or visitors’ vehicles or belongings.
  • Guest numbers must not exceed that stated on the booking form.
  • Additional guests cannot be added to a booking once a booking has been confirmed.
  • Visits by non residents are strictly by arrangement with the owners and we reserve the right to refuse entry to non residents.


From the start of the School Easter Holidays until the end of September, our changeover days are Friday for Oak Apple, Bramble, Primrose, Willow and Hazel Cottages and Saturday for Bryony Cottage, Elderberry Cottage and The Granary. Short breaks are available from the end of September until the end of April (with the exception of some school holiday weeks) in all cottages and arrivals can be on any day of the week except Sunday. Sorry, but we do not accept arrivals on a Sunday in any of our cottages at any time of the year.

Your cottage will be available from 5.00pm onwards. Sorry, we cannot accept requests for earlier arrivals.  It takes several hours to thoroughly clean and prepare our cottages, so please do not arrive earlier than 5.00pm. Arrivals after 9.00pm are strictly by arrangement only.

Please leave your cottage by 9.30am on the day of your departure. It takes our housekeeping team several hours to thoroughly clean and prepare our cottages for the next guests, so prompt departures are very much appreciated. If you intend to join in with animal feeding before you depart, please make sure you are packed and ready to leave beforehand.

We provide bed linen, although please remember to bring your own cot bedding with you. One bath sheet and one hand towel are provided for each guest, together with two tea towels and a kitchen hand towel. Please bring your own beach towels.
Yes, for a list of everything we can provide please visit our for Children page. Some items need to be booked in advance of your stay, so please email or phone with your requirements at least 7 days before you arrive, if possible.

You are welcome to join Farmer Simon for ‘animal feeding’ sessions most days at 9am. Farmer Simon does take one day off every week. This day does vary from week to week, but he will let you know when you arrive which day it is likely to be. Animal feeding will not be available on Christmas Day or New Years Day. Animal feeding is limited during the winter period and may not be available due to poor weather conditions. Very occasionally ‘animal feeding’ may not be available because of illness or family commitments. Sessions last for about 45 minutes. All children must be supervised by an adult and it’s a good idea to pack your wellies as it can get quite muddy during wet weather!

Please visit our Out & About page for details of shopping facilities. You will find plenty of information about local shops including opening times in the visitor’s book in your cottage.
The nearest pub, ‘The Green Dragon’ in Langtree, is about a mile away. We do not, however, recommend walking along the country lanes in North Devon when it is dark, as there are no street lights, the lanes are very narrow in places and with many twists and turns! There are several village pubs a few minutes drive from Birchill Farm. Please visit our Out & About page for details of pubs and restaurants in the area.

The three supermarkets that deliver regularly to Birchill Farm Cottages are Sainsbury’s, Tesco and Waitrose.

  1. To arrange a delivery please sign in to your account in the normal way and enter our postcode (EX38 8NB) where there is the option to deliver to a different address.
  2. Select ‘Birchill Farm’ from the drop down menu.
  3. You can specify your cottage in the delivery notes box.
    If you are organising a delivery for your arrival day, it is important that you arrange for your delivery to arrive after 4pm when your cottage will be available to you and please choose a time slot for after you expect to have arrived.
  4. If you are unexpectedly delayed then we will accept your delivery for you – assuming we’re onsite. As we cannot guarantee that we will be available to accept your delivery, we do strongly recommend that you avoid booking the 4-5pm (or 4-6pm) slot, in case you are delayed.
  5. We tend to accept substitutions, so if you would prefer us not to do this, please make sure you have indicated in your online order that you do not want substitutions, when arranging your delivery.
